Yes, fully. AI DentPro is built from the ground up to meet HIPAA requirements. Every client receives a signed Business Associate Agreement (BAA) before accessing the platform. All patient data is encrypted using AES-256 at rest and TLS 1.2+ in transit. Our infrastructure follows SOC 2 security practices, and access controls ensure that only authorized users can view patient records. We take compliance seriously — not as a checkbox, but as the foundation of everything we build.

It depends which feature you're using. EOB Sidekick scans nothing to disk — the image and the AI's response are held in memory for your session only and discarded immediately after; no patient data ever touches our database for that feature. RA posting, eligibility checks, consent forms, and contracts are retained on US-based servers because you need to come back and reference them later (posting history, signed forms, executed contracts). We never share your data with third parties, sell it for any purpose, or use it to train AI models. Your practice's data belongs to you — period. You can request data deletion at any time by contacting hipaa@aidentpro.com.

Your account data is never deleted — all your posting history, generated consent forms/contracts, and configurations are preserved regardless of your subscription status. (EOB Sidekick scans are the one exception — those are never stored in the first place, by design, so there's nothing to preserve there.) If you choose not to continue, you can export your retained data at any time. No surprise charges, no automatic billing without your consent.

The platform is entirely web-based and designed to be used by front desk staff and billing coordinators — not IT professionals. We handle all the technical integration on our end.

AI DentPro currently integrates directly with: Open Dental and DentiMax, with more PMS integrations on the roadmap. EOB Sidekick, consent forms, and contracts don't require any PMS connection at all — they work standalone from your browser regardless of what software your practice runs. If you use a different PMS, contact us and we'll let you know our timeline for your software.

They solve different problems. RA posting takes a remittance advice file and posts the payments into your PMS automatically. EOB Sidekick is for the explanation/appeals side — upload a photo or PDF of any EOB (commercial or Medicaid) and it explains in plain English why each procedure was paid, reduced, or denied, flags possible birthday-rule/coordination-of-benefits issues, and can draft a claim narrative or a full appeal letter. It works completely standalone — no PMS connection needed — and nothing from the scan is ever stored.

For RA posting: PDF remittance advice files from CT HUSKY / ctdssmap.com — the standard format used by Connecticut Medicaid — plus 835 EDI format for practices that receive electronic remittance files. Simply download your RA from the state portal in either format and upload it directly to AI DentPro. For EOB Sidekick: any EOB as a photo or PDF, from any commercial payer or Medicaid.

AI DentPro automatically flags unmatched patients so you can review them before anything posts. You'll see exactly which patients from the RA couldn't be matched to a record in your PMS — along with the payment amounts involved. You can then manually post those payments, add the patient record, or investigate further. Nothing gets posted silently; you're always in control of every transaction.
